Alert Delivery Report

The Alert Delivery Report provides summary delivery statistics by recipient within a specific alert. The report is useful for understanding what portion of email messages or faxes are actually getting through to each recipient.

Using the Alert Delivery Report

Use the Alert Delivery report to view:

  • Names and descriptions for all recipients of an alert, if the delivery method is by email or fax
  • Number of Email and Fax deliveries attempted for each recipient of an alert
  • Number of initial successes and failures for each delivery type for each recipient
  • Number of rollover actions attempted for each delivery type for each recipient and the success or failure of those rollover attempts
  • The total email and fax messages that were successfully delivered to each recipient
  • The total email and fax deliveries that were not successfully delivered to each recipient
  • The breakdown of email deliveries by web emails and API emails
  • The breakdown of fax deliveries by web faxes and API faxes
  • Retry links that allow you to reattempt any failed deliveries

To run the Alert Delivery Report:

  1. Choose Data Management > Reports. The Report Selection page displays.
  2. Click the plus sign (+) beside the Advocacy Reports folder.
  3. Click Alert Delivery Report. The Configure Report Options page displays.
  4. Select an alert from the Alert drop-down list.
  5. Select an option from the State/Province drop-down list.
  6. Select one of the reporting date options in the Response Date section:
    • Predefined Date Range - Select All Dates, This Month, This Calendar Year, This Fiscal Year, and so on
    • Custom Date Range - Select a custom start and end date.
  7. Name the report in the Label for this report section. If you don't enter a name, the report will be named according to the date it was run.
  8. Click Submit Report. The Report Results list displays with Queued as the Status of your report.
  9. Click Refresh this page to update the Status of the report.
  10. When the Status indicates that the report has been Completed, click one of the following links in the Actions column for the report:
    • View - Display the report on your computer. You can then print Print Icon or download download_icon the report from the displayed view. You can also click on Add to My Reports, provide a brief Description, and click Save to add this report -- with this configuration -- to the My Reports folder.
    • Download - Download the report as a CSV file to your local computer or shared network resource.
    • Print - Print the report via your standard Print application.
    • Delete - Delete the report if you no longer need it.

Analyzing the Results of the Alert Delivery Report

The Alert Delivery Report provides information about all attempts to deliver email and fax messages to the targeted recipients for a specific alert.

There are two types of Email alerts:

  • Web Emails - Web Emails are emails that are submitted through your organization’s website (from the URL available on the Publish step of the Alert Setup pages).
  • API Emails - API Emails are emails that are submitted through the Advocacy API’s takeAction method.

And there are two types of Fax alerts:

  • Web Faxes - Web Faxes are faxes that are submitted through your organization’s website (from the URL available on the Publish step of the Alert Setup pages).
  • API Faxes - API Faxes are faxes that are submitted through the Advocacy API’s takeAction method.

The Alert Delivery Report lists delivery totals for both types of Emails and Faxes in the columns that begin with Email_ and Fax_. The Web_ and API_ columns allow you to break down the Email_ and Fax_ totals for further analysis. In other words, the sum of the Web_Email_ and API_Email_ columns will equal the totals in the Email columns. In addition, the sums of the Web_Fax_ and API_Fax_ columns will equal the totals in the Fax_ columns. The report columns are organized in the following way:

Report Detail and Requeue Columns

Action_Alert_Name

The name of the alert on which this report is based

Action_Alert_Internal_Name

The internal name of the Alert on which this report is based

Recipient_Name

The name of each recipient who was targeted for this alert

Recipient_Description

The description of each recipient who was targeted for this alert (State Senator, Governor, CEO, etc.)

Fax_Requeue_URL

Click this link to retry all failed faxes (both Web and API Emails).

Email_Requeue_URL

Click this link to retry all failed emails (both Web and API Faxes).

Requeue_All_URL

Click this link to retry all failed faxes and emails (both Web and API Emails and Faxes).

Email Columns

All Email counts are the sum of the totals in the corresponding Web and API email columns. For example, the Email_Rolled_Over_To_Fax is the sum of the Web_Email_Rolled_Over_To_Fax and API_Email_Rolled_Over_To_Fax columns.

Email_Initial_Attempts

The total number of initial email attempts; it equals the sum of the Email_Initial_Success and Email_Initial_Failure amounts (not including rollovers)

Email_Initial_Success

The number of initially attempted email deliveries that were successful (not including rollovers)

Email_Initial_Failure

The number of initially attempted email deliveries that were not successful (not including rollovers)

Email_Rolled_Over_To_Fax

The sum of the counts in the Email_Rolled_Over_Success and the Email_Rolled_Over_Failure columns

Email_Rolled_Over_Success

The number of initially attempted email deliveries rolled over to fax that were successful.

Email_Rolled_Over_Failure

The number of initially attempted email deliveries rolled over to fax that were not successful.

Email_Total_Delivered

Total number of emails that were successfully delivered to each targeted recipient (including rollovers).

Email_Not_Delivered

Total number of emails that could not be delivered to each targeted recipient (including rollovers).

Fax Columns

All Fax counts are the sum of the totals in the corresponding Web and API email columns.  For example, the Fax_Total_Delivered is the sum of the Web_Fax_Total_Delivered and API_Fax_Total_Delivered columns.

The number of initially attempted fax deliveries rolled over to email that were successful.

The number of initially attempted fax deliveries rolled over to email that were not successful.

Fax_Total_Delivered

Total number of faxes that were successfully delivered to each targeted recipient (including rollovers).

Fax_Not_Delivered

Total number of faxes that could not be delivered to each targeted recipient (including rollovers).
