Alert Summary Report
(Advocacy Reports)
View a Sample of this Report.
The primary purpose of the Alert Summary Report is to provide summary information on all alerts in your system. The report includes the number of invitations sent to constituents and the number of responses received. It also provides the number of email messages, faxes, or letters sent and calls logged for each alert. You can view the information for all dates or limit the report to a specific period of time.
Using the Alert Summary Report
Use the Alert Summary Report to show:
- Number of invitations sent to constituents
- Number of responses received for a particular alert
- Number of email messages, faxes, or letters sent (or calls logged) to representatives or other targets for each alert
- Number of Tell-a-Friend messages forwarded for each alert
- Number of successful and failed emails and faxes for each
Important: You can also use this report to resend any failed email or fax deliveries to potential targets.
Running the Action Alert Summary Report
Run the Alert Summary Report as follows:
- Choose Data Management on the navigation bar and then select Reports from the drop-down menu that displays. The Report Selection screen displays.
- Click the plus sign (+) beside the Advocacy Reports folder. A list of available reports displays.
- Click the link for the Alert Summary report. The Configure Report Options screen displays.
- Choose a Response Date for this report. Options include:
- Predefined Date Range (such as All Dates, This Month, This Calendar Year, etc.)
- Custom Date Range (choose exact dates from the date menus provided)
- Provide a Label for this report to help you identify it at a later time. (If you do not provide a label, "Alert Summary Report" and the date will identify the report.)
- Click Submit Report. The Report Results list displays with Queued as the Status of your report.
- Click Refresh this page to update the Status of the report.
- When the Status indicates that the report has been Completed, click one of the following links in the Actions column for the report:
- View - Display the report on your computer. You can then print
or download the report from the displayed view. You can also click on Add to My Reports, provide a brief Description, and click Save to add this report -- with this configuration -- to the My Reports folder.
- Download - Download the file to your local computer or shared network resource.
- Print - Print the report via your standard Print application.
- Delete - Delete the report if you no longer need it.

Viewing the Results of the Alert Summary Report
The Alert Summary Report provides summary information for all alerts in your system either for all dates or for the time frame that you have selected. The report contains the name of each alert and then organizes the remaining information under three headings as shown below:

Number and % of emails sent to potential activists that were opened by those potential activists. Important: This number can be slightly out of date as it is updated by a recurring task service job.

Click-Throughs
|
Number and % of potential activists who performed some action after receiving your invitation to take the Action Alert such as clicking a link in the email. Important: This number can be slightly out of date as it is updated by a recurring task service job.

Email Replies
|
Number of constituents who have responded to the alert by replying to alert email.

Number of Activists who took action on an alert for this issue
|
|
Emails Sent
|
Number of emails sent out by those constituents who took action on each issue; this number should equal the sum of the successful emails and the failed emails under the delivery statistics

Faxes Sent
|
Number of faxes sent out by those constituents who took action on each issue; this number should equal the sum of the successful faxes and the failed faxes under the delivery statistics

Printouts
|
Number of copies of each alert that were printed by constituents for potential mailing to targets

Calls Logged
|
Number of calls logged if this is a Call Alert
|

Tell-a-Friend Messages Forwarded
|
Number of Tell-a-Friend messages forwarded for each alert. Note: this field reports on the total number of Tell-a-Friends sent for each alert regardless of the date range provided.

Successful Emails
|
Number of emails that were successfully delivered to targets for each alert
|
|
Failed Emails
|
Number of emails that failed to reach their intended targets for each alert includes both hard and soft bounces
|
|
Successful Faxes
|
Number of faxes that were successfully delivered to targets for each alert
|
|
Failed Faxes
|
Number of faxes that failed to reach their intended targets for each alert includes both hard and soft bounces
|
|
Retry All Failures
|
Contains a Retry link whenever emails or faxes failed to reach their intended targets; clicking the link opens a new window that shows those emails and faxes that have been requeued for delivery. (See example B in the Alert Summary Report Sample.)
