 Configuring the New Donation Reports

All of the new Donation Reports* that are available in the Donation Management area are configured using the same procedure.  In all cases, you select the report you would like to run and then work through a series of filters that allow you to narrow the focus of your report, if desired.  For example, for any given report, you can choose to include all donation forms or only selected forms, all gifts or only those that were paid with a credit card or that fall in a certain currency range, and so forth.

The same filters are available for all the donation reports except the Donations by Email Message report, which includes two extra filters for email campaigns and email messages.  A Configuration Summary page allows you to review the choices you have made for your report.

This document walks you through the general procedure for setting up any of the new donation reports listed below.  For specifics about each report, click the link for that specific report.

*Important:
These reports contain information regarding donation transactions only. The reports do not include transactions for purchasing Tickets to Calendar Events, paying registration fees for TeamRaiser Events, or paying setup fees for Tribute Funds. In addition, they do not include additional gifts made at the time of TeamRaiser Registrations or Tribute Fund creation. 

                                   
To run the new Donation reports:

Getting Started:

1.       Click Fundraising on the top-level navigation bar and then select Donation Management from the drop-down list to open the Donation Management area.

2.       Click the Donation Reports tab to open the Donation Report List page.

3.       Select Donations by Payment Method (or whichever report you would like to run) from the drop-down menu for creating a new report.

4.       Click Go to begin the configuration.


Configuring the Report:

Important: All filtering options discussed from this point on are optional.  At any time, you may skip to the Report Submission step by clicking "Configuration Summary" in the Process Navigator.

Apply filters and run the report as follows:

1.       Decide which administrative Campaign and Form Security Categories to include in this report.  The Security Categories that you select will determine which campaigns and forms are available for the report.  You will have the option of:

u       All Security Categories

u       Specific Security Categories that you choose from the categories to which you have access.

2.       Click Next.

3.       Decide which Donation Campaigns you would like to include in this report.  The donation campaigns that you select will determine which donation forms are available for this report.  You will have the choice of:

u       All Campaigns within the chosen Security Category set.

u       All Active Campaigns within the chosen Security Category set.

u       Specific Donation Campaigns that you choose from the Selection List presented.*

*Note: Campaigns in the Selection List are grouped by Active/Inactive Status.

·         In Donation Classic, Active = Published

·         In Online Giving, Active = Not Archived

4.       Click Next.

5.       Decide which Donation Forms to include in the report. The donation forms that you select will determine which donation levels will be included in this report.  You will have the choice of:

u       All Available Donation Forms within the chosen set of Campaigns

u       All Active Donation Forms within the chosen set of Campaigns

u       Specific Donation Forms that you select from those within the chosen set of Campaigns.**

**Note: Donation Forms in the Selection List are grouped by Active/Inactive Status.

·         In Donation Classic, Active = Published

·         In Online Giving, Active = Not Archived

6.       Click Next.

7.       Select from the following Payment Filters:

a        Payment Types.  Your choices include:

·         Credit Card

·         Cash

·         Check

·         Bank Account (available only if your site is configured to offer Bank Account Withdrawal)

b        Payment Agents.  Payment agents describe the person that actually recorded or processed the gift.  Your choices include:

·         Payments entered by the donor (also known as Online gifts)

·         Payments entered on behalf of a donor (also known as Offline gifts)

c         Payment Plans. Your choices include:

·         One-time gifts

·         Sustaining Gifts

·         Installment Gifts

8.       Click Next.

9.       Select the Source Types to include in the report.  Source types identify where the donation was initiated.  Choices include:

u       All donations with or without sources

u       Specific source code types that you choose from the selection box presented, including:

·         Email

·         Forwarded email messages

·         Tell-a-Friend messages

·         eCards

·         Unknown source

·         Specified Web Links -- if you check this box, enter an optional Web Link Source Code (and Sub-Source Code, if applicable) in the boxes provided

10.   Click Next.

11.   Decide which of the following Gift Filters to apply:

a        (Optional) Minimum and Maximum Gift Amounts. Enter a whole number for the minimum and maximum gift amounts you would like to include in the report.  The Amount Range is inclusive in the search.  That is, if you enter a Minimum of $10 and a Maximum of $50, both $10 and $50 gifts will be included in the report (as well as all values in between).

Important: You can also use the Minimum and Maximum Gift Amounts independently.  For example, you can include all gifts greater than $25.

b        Donor Status Types:

Important: These options represent the Status of the constituent at the time of the donation, not the current constituent status.

·         First Donation from a new constituent

·         First donation from an existing constituent

·         Donations from previous donors

·         Status is unknown

c         Gifts with Employer Matching. Additional details regarding employers, including address, will be included in the downloaded report if you choose to include employer-matched gifts.  Choose between:

·         All Available gifts

·         Only gifts with employer matching

·         Only gifts without employer matching

d        Gifts with a Joint Donor.  Additional details regarding joint donor, including address, will be included in the downloaded report if you choose to include joint donor gifts.  Choose between:

·         All available gifts

·         Only gifts with a joint donor

·         Only gifts without a joint donor

e        Honor Gifts.  Additional details regarding honor gifts, including honoree and notification recipient address, will be included in the downloaded report if you choose to include honor gift information.  Choose between:

·         All available gifts

·         Only gifts that are honor gifts

·         Only gifts that are not honor gifts

Note: Honor gifts are also sometimes referred to as Tributes gifts, but should not be confused with the Tributes product.

f          Gifts with Memberships. Choices include:

·         All available gifts

·         Only gifts that have memberships

·         Only gifts that do not have memberships

12.   Click Next.

13.   Decide whether to include Premium information in the report. Additional details regarding premiums, including ship to address, will be included in the downloaded report if you decide to include premium information.  Choices include:

u       All available gifts

u       Only gifts without a premium selected

u       Only gifts with premium selected

u       Only gifts with the specific premiums that you choose from the selection list presented.***

***Important: Only published premiums are available in the Selection List.

14.   Click Next.

15.   Select the Groups to include in this report.  Choices include:

u       All available groups

u       Only the groups that you choose from the Selection List. Click on the Group Type.

Note: You have to open a new window and go to Constituent360->Groups to find more information about a group you are adding to a list.

u       Then click on the appropriate group or subgroup in the pane or panes to the right. A selected group will appear in the Selected pane to the far right.

16.   Click Next.

17.   Choose a Reporting Date Range for this report.  Choices include:

u       Pre-defined date range.  If you choose a pre-defined date range, select a range from the drop down list provided (for example, This month or This Calendar Year).  The pre-defined date range is calculated dynamically when the report is run.

u       Custom date range. If you choose a custom defined date range, use the drop down date lists to set the range.

18.   Click Next.

19.   Select one or more Membership Types for this report.  Choices include:

u       All membership types

u       Specific membership types selected here.  If you choose this option, additional selection boxes will open where you can:

a        Select the membership types you would like to include from the All Selections box at the left of the screen.

b        Click Add.

20.   Click Next.

Important: The next four steps will be present only if you are running the Donations by Email Message Report.  Otherwise, go on to Step 25 -- reviewing the Report Configuration Summary.

21.   Select the Email Campaigns that you would like to include in this report.  The campaigns you choose will determine which messages are available for the report.  Choices include:

u       All Email Campaigns

u       Specific email campaigns that you choose from the selection list presented.

22.   Click Next.

23.   Select the Email Messages to include in the report.  The email campaigns that you previously selected will determine which email messages you can select here.

Note: You will also be able to include messages that were sent using Quick Email.  These messages will be identified as Ad Hoc Messages in the Email Campaign column of the report.  Choices include:

u       All Email Messages within the set of selected Email Campaigns.

u       Specific Email Messages that you choose from the selection list presented.

24.   Click Next.

25.   Review the Report Configuration Summary.  This summary shows all of the report filters and the choices you made for each.

26.   Provide a Label for your report.  If you do not enter a label, the report type and a timestamp will serve as the default label.

27.   Click Submit Report to initiate the report and return to the Donation Reports List page.

28.   Click Refresh Report List to update the Status of your report.

29.   When the Status indicates that the report has been Completed, use one of the following actions to access your report results:

u       View -- use this action to display the report on your computer.

u       Print -- use this action to print the report via your standard Print application.

u       Download -- use this action to download the report as a .csv file. Note that the downloaded versions of many of the reports include additional fields that are not visible on the viewed version.

u       Delete -- use this action to delete the report.
