Managing Data Import/Export Operations
The Convio DataSync operations enable you to upload large quantities of data to the Constituent360 database, as well as to download data to use with an offline database. Data to be imported must be in a comma-separated values (CSV) file. The system also exports, or downloads, data in a CSV file.
If you have operations listed on the My Data Sync Operations tab, those operations have been customized for you and those are the operations you should use.* The All Data Sync Operations tab contains a list of standard (non-customized) operations as follows:
u Standard Constituent Import -- can be used to create new contact records or update existing ones in the Constituent360 database; can include Convio Group IDs and Convio Interest IDs
u Group Assignment Upload -- can be used to add existing constituents in bulk to Convio groups (except for the opt-in/opt-out Interest groups)
u Segmentation Upload -- can be used to update Interest information and opt-in/opt-out groups for existing Convio constituents
u Constituent Data Download -- can be used to export constituent records that were created or modified since the last time this download was executed
u Transaction Information Download -- can be used to export transaction records that were processed since the last time this download was executed
u Custom Constituent Import -- can be used to import new and existing bulk constituent records into Constituent360; includes one-time or scheduled recurring imports, data field mapping, and centers
u Convio Connector for Common Ground DataSync -- can be used to synchronize your Convio eCRM site with Common Ground.
*If you are not using Common Ground, but are instead using the Salesforce Connector, please see the Salesforce Connector Users Guide.
As you work with any of these operations, you may also find the following topics useful:
u Resolving New Registrations -- discusses how to resolve new registrations that potentially match existing records in either your online or offline database; solutions involve marking such records as a match, marking them as not a match, or merging the records into an online master; resolving potential matches can avoid errors in your DataSync operations
u Maintaining Data Sync Cross-References -- discusses how to create and maintain cross-reference mapping between your offline database values and Convio values; cross-references are used when both uploading or downloading many types of information
u Using the Get External Data Feature in Excel -- discusses how to import your files into Excel without losing leading zeroes
Contact Convio Support if you would like assistance with other operations that are available only to Convio administrators such as uploading participants and teams to TeamRaisers in bulk, and uploading events into the Calendar system.
Note: Unless you are a Site Administrator (with permissions for everything), you must have the Import/Export Management role (View Import/Export Operations) plus a Data Synchronization role to view and work with the Import/Export operations. Likewise, you will need the Import/Export Management role plus a Cross-Reference Management role to view and work with Cross-References.
