 Donations Report

The Donations Report provides a listing of all donations that meet certain criteria that you specify.  Each record in the report includes contact information, amount, and type (online or offline) for each gift.  Additional columns provide Tribute/Memorial information and Premium information where applicable.

This is a very versatile report that can provide a variety of information including a list of all types of donations for a Donation Form, a list of only those donations that require special handling such as the mailing of Premiums, or donations made only by donors named "Susan Smith during October 2004."


Use the Donations Report to show:

u       All donations associated with one or more Donation Forms

u       Online (or offline) donations associated with a particular Donation Form

u       Donations associated with one or more Premiums

u       Tribute and Memorial donations to a specific Donation Form (the Long Format of this report will contain the information you need to acknowledge these gifts)

u       Company Matching gifts, Anonymous Gifts, and Joint Gifts made to a specific Donation Form (choose the Long Format to view this information)

u       Gifts to a Donation Form that fall within a certain gift range

u       Gifts to a Donation Form that were made by a certain Group of donors

u       Gifts to a Donation Form that were made by a specific donor

u       Gifts to a Donation Form made during a specific period of time

u       A combination of any of the above features such as: "All online gifts made by Susan Smith to the Annual Fundraiser between October 1, 2004 and November 1, 2004.


Run the Donations Report as follows:

1.       Click Data Management on the top-level navigation bar and then select Reports from the drop-down list to open the Report Selection page.

2.       Click the plus sign (+) beside the Donation Classic Reports folder to display the contents of the folder.

3.       Click the link for the Donation Report.

4.       On the Report Configuration screen that opens, select the Donation Form on which to base the report. To select more than one Donation Form, hold down the Ctrl key while making additional selections.  You can also choose to Report on all donation forms.

5.       Select a Gift Type from the drop-down menu.  Choices include:

u       All Gift Types (Donations and Pledges)

u       Donations Only

u       Donations and Completed Pledges

u       Outstanding Pledges

6.       Select a payment Processing Type from the following drop-down menu choices:

u       Both Online and Offline

u       Online Only

u       Offline Only

7.       Choose whether to view only transactions with some sort of Special Handling Required on your part.  Choices in the drop-down menu include:

u       All Gifts

u       Employer Matches

u       Tributes and Memorials

u       First Time Donors

u       Gifts with Associated Premiums

u       Joint Gifts

8.       Choose a Donation Date range for this report.  Your choices include:

u       Predefined Date Range (such as All Dates, This Month, This Calendar Year, etc.)

u       Custom Date Range (choose exact dates from the date menus provided)

9.       Select a Gift Amount for this report.  Choose either:

u       All Gifts

u       Only Gifts Between (you supply the range you would like to view)

10.   Choose to view one of the following types of Donors for this report:

u       All Donors

u       Donors Named (you provide the First and/or Last Name)

u       Donors in These Groups (you select a specific group from the list supplied)

11.   Choose the Premium options for this report from the following:

u       All Gifts Regardless of Premium Selected

u       Only These Premiums: (you select one or more premiums from the list supplied)

12.   Choose Sort Report By from the drop-down menu.  You can sort by Date, Amount, or Name in either Ascending or Descending order.

13.   Choose a Report Format from the drop-down menu.  Choose between:

u       The Long Format (4 - 8 lines per gift) -- allows you to see more information such as the donor's complete address, the name and address of the person to notify for Tribute and Memorial gifts (as well as the complete message and closing), the Employer name for Matching gifts, etc.

u       The Short Format  -- may be easier to read and sufficient if you are simply looking for a list of gifts in a certain range or for a list of gifts associated with a Premium.

14.   Provide a Label for this report to help you identify it at a later time.

15.   Click the Submit Report button.  The system will display the Report Results List with Queued as the Status of the report.

16.   Click the Refresh button to update the Status of the report.

17.   When the Status indicates that the report has been Completed, click one of the following icons beside the report:

View Icon  (View) icon to display the report on your computer.  You can save or print the report from the displayed view or add the results to a Group.  You can also click the Add to My Reports link, provide a brief Description, and click Save if you would like to add this report -- with this configuration -- to the My Reports folder.

Print Icon  (Print) icon to print the report via your standard Print application.

download_icon  (Download) icon to download the file to your local computer or shared network resource.

Remove Icon  (Trashcan) icon to delete the report if you no longer need it.

 

View the Results of the Donations Report

The Donations Report provides the name and contact information of each donor who has made a gift that meets the criteria that you specified when configuring the report.  Each gift includes the amount, the date, and whether it was made as an online or offline gift.

The report also contains the name of the honoree for Tribute and Memorial gifts (in the Recognition field), and the name of the Premium associated with the giving level wherever applicable.  Since both of these items require some special handling on your part, the report can give you a sense of the number of gifts to be specially acknowledged or premiums to be shipped. 

The Long Format of this report provides the Message, Closing, and Recipient name and address to allow you to acknowledge Tribute and Memorial gifts (or you can use the Tribute Report for this purpose). 

Field

Description/Contents

Name

Contains the name of each donor who meets the criteria of the report; if you have chosen to View the report online, each name is provided as a link to the contact profile where you can access additional information

If you choose the Long Format for your report, this field also provides the Employer name for matching gifts, the name of the Joint donor if applicable, and the notation that the gift is Anonymous whenever applicable.

Email

Contains the email address of the corresponding donor

Gift Information

Indicates the amount and date of each gift, and whether it was donated online or offline

If you choose the Long Format for your report, this field will also indicate that this is a Sustaining gift (if applicable) and will show the frequency of payments and the expected end date for sustaining gifts.

Campaign Information

Provides the name of the Donation Form that you selected when configuring the report

Donor Address

Contains the address of the corresponding donor

If you have chosen the Long Format when configuring the report, this field will have the Street Address as well as the City, State, and Zip Code.

Phone Number

Contains the phone number of the corresponding donor

Recognition

Provides the name of the honoree if the gift was a tribute or memorial gift

If you have chosen the Long Format when configuring the report, this field will also have the name and address of the person to be notified about the tribute or memorial gift

Premium

Contains the name of the Premium that was associated with the gift, if applicable

Note: If you have chosen the Long Format, you will have additional lines for each entry that provide the Message and Closing for Memorial and Tribute gifts wherever applicable.
