Downloading Action Alert Letters

You can download the letters associated with standard Action Alerts, the letters associated with Action Alerts in the Vote Center, and letters associated with Letter to the Editor Alerts. Such a download can be useful for reviewing what your advocates have added to their letters, or for emphasizing the degree of concern when meeting with an advocacy target.

Filters allow you to specify a date range for the downloads and to specify the letter targets of interest; filters also allow you to choose between letters that advocates have edited, unedited letters, or both. The upper limit for each download is 150,000 letters, but you can use the filters to keep the download within this limit. The letters are downloaded in a zipped file that remains accessible for 21 days.

Important: At least one constituent must take action on an Alert before the download action becomes available for that Alert.

To download letters associated with an Action Alert:

  1. Access the Advocacy Action Alert List page, the Letter to the Editor Alert List page, or the Action Alert List page in the Vote Center.
  2. Click the Download Letters action for the appropriate Alert. The Recent Letter Downloads List page displays.
  3. Click the Request Letter Download button to open the page for specifying the parameters of the download. On this page:
    1. Specify the Targets (recipients) of the letters of interest to you by placing a check in the appropriate box(es).
    2. Choose the Type of letters to include by specifying one of the following:
      • All letters (edited and unedited)
      • Edited letters
      • Unedited letters
    3. Specify a Date Range for the downloaded letters by selecting a beginning and ending date from the menus provided.
    4. Click Finish to return to the Recent Letter Downloads List page where your new request will display with a Status of Queued.
  4. Click Refresh this Page to update the Status. When the download is complete, the Status column will display the word "Download" as a link to a zipped file.
  5. Click the Download link to Save or Open the zipped file. Once you open the file, you can review or print the letters. 

    Note: The download remains accessible on the Letter Downloads List page for 21 days.
