Managing eCard Campaigns

eCards provide your constituents with an attractive and easy way to spread your organization's message. As a site administrator, you provide one or more stationeries and configure the form for each eCard Campaign. Constituents then provide their own message and select their own recipients.

If you include a link back to your organization when you configure the eCard Campaign, eCard recipients can easily come to your site and send their own eCards -- thus increasing traffic to your site. In addition, new constituents who use your eCards are automatically registered with your site and asked to opt-in for email.

If you enable the Address Book feature when configuring the eCard Campaign, constituents will be offered an address book after sending at least one eCard. (The address book will be pre-filled with the recipients of the first eCard.) This same address book will also be available to your constituents if you are using the TeamRaiser application.

Note: eCard campaigns are not available in Convio CMS, but eCards are. For information about Convio CMS eCards, refer to Creating an E-Card.

Creating an eCard Campaign

Important: Create one or more stationeries before you begin to create a new eCard Campaign and indicate that the stationery is to be used for eCards.

To create a new eCard Campaign:

  1. From the navigation bar, click Email and then click eCards.
  2. Click Create a new eCard Campaign at the upper left of the page.
  3. Type a Name for the eCard Campaign. This name will be visible to administrators when configuring or linking to a campaign.
  4. Select a Security Category for the Campaign. The Security Category determines which administrators can edit the Campaign and which constituents can send the eCards.
  5. Click Next.
  6. On the editing page, click Add next to each stationery you want to use in the campaign.
  7. Click Next.
  8. Customize the eCard form by editing the following:
    • Page Title: This field will appear at the top of the instruction page for your constituents. (It will not be part of the actual eCard that they send.) An example of a title might be Mother's Day Cards.
    • Page Heading: This field appears after the title on the instruction page for your constituents. You might use this field to provide general instructions, such as, "Send your mother an eCard from our site."
    • Address Book Options: Choose whether to show constituents an address book. If you select this option, constituents will have the use of an address book after sending at least one eCard. (The same address book will also be available to constituents if you are using the TeamRaiser application.) If you choose this option, you can also modify any of the associated text fields.
    • Sender and Recipient Options: Use this section to modify any of the text fields associated with these options.

      Note: If you forward an eCard using Microsoft Outlook, Outlook sometimes does not show the orginal sender's email address and therefore recipients do not know where to reply.
    • Card Types (Stationery Choices): If you will be providing multiple stationeries for use with this Campaign, you can customize the selection Label, set the Width of Cells (in pixels) for the Thumbnail images that will be presented for Stationery selection, and choose whether or not to show the Name of the Stationery along with the Thumbnails.

      Tip: It is not necessary to set the width of the cells for thumbnail images, but if you choose to show the names of the stationeries along with the thumbnails, setting a value for width will help to control text wrapping. (A larger width means that the thumbnail images will be further apart.)
    • Default Subject and Message Body: Choose whether to allow constituents to edit the eCard Subject Line and provide an optional Default Subject Line. You can also use this area to modify the Message Label, or to add Default Message text or Message Hint Text.
    • Button Text: Use this area to modify the text of the buttons on the eCard form, or leave the default text in place.
    • Insert Links Automatically into eCards: Use this section to make sure that the eCard can be viewed online and to include a link for recipients to come to your site and send their own cards. Remember that recipients who come to your site and send their own eCards will automatically be registered with your site and asked to opt-in for email. You can also alter the default text for these links.
  9. When you finish the customizations, click Next.
  10. Preview the form as it will appear to your constituents.

    Note: If you would like to make additional changes to the form, click Previous, make your changes, and click Next.
  11. Click Next to access the Thank You page that will be shown to constituents after they send their card. Again, you can customize the Page Title, Page Heading, and Text Options on this page if you choose.
  12. When you finish the customizations, click Next to preview the customized Thank You page.

    Note: If you would like to make additional changes to the Thank You page, click Previous, make your changes, and click Next.
  13. After you review the Thank You page, click Next to complete your configuration.

    Important: On the final page, you can Preview your eCard Campaign and/or Publish the Campaign as discussed in the next two sections. You will also be reminded that you must provide a link to the published campaign before your constituents can see it. If you do not wish to perform any of these functions at this time, simply click Finish to return to the eCard Campaign List.

Previewing an eCard Campaign

You can preview your eCard form as it will appear to your constituents and even send an eCard to yourself so that you can see what the actual card will look like. You can preview the form and the actual eCard by either of the following means:

  • Click Preview eCard Campaign on the final page of the eCard configuration screen.
  • Use the Preview link in the Actions column of the eCard Campaign List

Both of these techniques will allow you to try out the form and send a sample eCard to yourself as described below:

1.       Click the Preview eCard Campaign button or the Preview link on the eCard Campaign List page to open the preview window.

2.       Enter your First and Last Names.

3.       Enter Your Email address.

4.       In the Send To field, enter the email address of at least one recipient.  (You might send this test copy to yourself.)

5.       Enter a Subject.

6.       Write your Message.

7.       Click Preview to see what the actual eCard will look like.

8.       Close the Preview Window.

9.       Click Send. You should see the onscreen Thank you that you configured.

10.   Close the Thank You window by clicking the X in the upper right corner of the screen.

11.   Check your personal email inbox to view the actual eCard.

Publishing an eCard Campaign

You can publish your eCard by clicking the Publish eCard Campaign button that appears on the final configuration screen when you create the campaign.  If you choose to wait and publish the eCard Campaign at a later time, proceed as follows:

1.       From the navigation bar, click Email and then click eCards from the drop-down list displayed.

2.       Click the Publish link in the Actions column beside the Name of your eCard Campaign in the eCard Campaign List.

Note: Your eCard Campaign will not be visible to constituents until you provide a link from an active page.

Linking to an eCard Campaign

After publishing your eCard Campaign, you will need to link it to an active page so that your constituents can see it.  Use the Links menu in the WYSIWYG editor to provide this link as follows:

Note: These directions link to the homepage, but you can provide the link from any active page.

1.       From the navigation bar, click Content and then click PageBuilder to open the Page Library.

2.       Locate the home page and click Edit from its Actions column.

3.       On the Page Information screen that opens, click the Copy and Edit Copy_and_Edit Icon  icon in the Actions column beside your Active page version.

4.       On the Edit Page Contents screen, choose HTML Component for an Empty Component cell and click Edit.

5.       In the WYSIWYG window that opens, provide text to introduce your eCard Campaign.  (For example, "Click here to send an eCard to your friends.")

6.       Select a portion of the text and choose eCard Campaigns from the drop-down Links menu.

7.       In the Link Selector box that opens, choose the Insert link beside the eCard Campaign of your choice to complete the link.

8.       Click Save at the bottom of the WYSIWYG window and Publish your page according to your standard procedure.

Editing an eCard Campaign

You can edit an eCard Campaign at any time after you have created the campaign. 

Important: Use caution in editing an active Campaign that your constituents can see.

To Edit an eCard Campaign:

1.       From the navigation bar, click Email and then click eCards from the drop-down list displayed.

2.       Click the Edit link in the Actions column beside the Name of your Campaign to reopen the first editing screen.

Note: Click Next at the bottom of each page to proceed through the steps. Skip directly to the page you would like to edit by clicking the page link in the short-cut menu on the left. You must click Next at the bottom of a page to save a change on that page.

Deleting an eCard Campaign

To delete an eCard Campaign that you no longer need:

1.       Click the Delete link in the Actions column beside the Name of your eCard Campaign.

2.       When asked to confirm the deletion, click OK to complete the deletion process.

Understanding eCard Limits

The number of eCards that your constituents can send is controlled by the same limits as Tell-A-Friend –- and is set by site data parameters (SDPs). The default settings are: a maximum of 10 TAFs/eCards per IP address in a rolling 60-minute window, with a maximum of 3 recipient email addresses per TAF/eCard sent. Contact Convio support if you would like to change these limits.

Reporting on eCard Campaigns

Use the following reports to track the success of your eCard Campaign:

  • eCard Campaign Statistics Report: Provides summary information for all selected campaigns. This report tells how many new registrations resulted from the total number of senders. It also tells how many of those new registrations opted-in for email from your site.  You can also use this report to determine the total cards sent for each campaign and the effectiveness of the campaign in increasing your house file.
  • eCard Comparison Report: Shows how many times each card was sent for all selected campaigns.
  • eCard Senders Report: Creates one record for each sender for all selected campaigns. You can use this report to create a Group for senders.
  • eCard Messages Sent Report: Creates one record for each sender for each Send action.

Running the Reports

After you publish at least one eCard Campaign, you can access and run the eCard Reports as follows:

1.     From the eCards Campaigns List page, click the eCard Reports tab.. The four eCard Reports will be displayed as links at the left side of the page.

4.     Click on the eCard Report that you would like to run.

5.     On the Configuration screen that opens, select the Campaign(s) for the report by highlighting each in the box at the left and then clicking Add.

6.     Click Next to open the Date Range screen.

7.     Choose a Predefined Date Range from the drop-down menu or enter a Custom Date Range and then click Next.

8.     Enter an optional Label for the report.  If you do not enter a label, the report name and timestamp will serve as the label.

9.     Click Submit Report.  The eCard Report List will open with your new report listed at the top of the list.  The report Status will probably indicate that the report is Queued.

10.   Click Refresh this page.  When the Status column indicates that the report has been Completed, you will have the following Actions available for your report:

View - view the completed report onscreen

Print - access a printable version

Download - download the report in csv format

Delete - delete the report

Note: If you chose to view the report onscreen, click eCard Reports at the top of the screen to return to the eCard Report List.

Creating a Group from the Senders Report

To create a Group from the Senders Report:

1.      Run the eCard Senders Report as discussed above, choosing the View action when the report is complete.

2.      Click the Add Results to Group link just above the Report heading.

3.      In the dialog box that opens, click the radio button for Add results to this group and select the Group Type and Group Name from the drop-down menus,

Or,

1.     Click the radio button for Create a new group.

2.      Click Go.

3.      If you chose to create a new group, a new dialog box will open.  Provide a Name and Group Type for the new group and an optional Description and Security Category and then click Save to complete the formation of the new group.

4.      Click Close in the Confirmation window to return to the Report Results screen.

Viewing Report Details

 The following fields are available for each report:

  • The eCard Campaign Statistics Report provides summary information for all selected campaigns and contains the following fields:

Indicates the total number of eCard recipients for each campaign; this number may be larger than the number sent if Send actions included cards to multiple recipients

Number of New Senders

Indicates the number of senders who were not already registered with your site

Number of New Email Addresses

Indicates the number of new senders who opted-in for email from your site

Number of Recipient Responses

Indicates the number of eCard recipients who performed some action in response to the card (for example, registered, donated, advocated, etc.)

  • The eCard Comparison Report shows how many times each card was sent for all selected campaigns and contains the following fields:

  • The eCard Senders Report creates one record for each sender for all selected campaigns and contains the following fields:

Provides the email address of each named constituent; the email address is "clickable" and will open an email window if clicked

Email Status

Indicates one of the following: Email Valid, Email Soft-Bounce, Email Hard-Bounce, Opted-Out of Email, or No Email Address

Number of Cards Sent

Indicates the number of times the Send action was performed by each constituent

Number of Recipients

Indicates the total number of eCard recipients for each card; this number may be larger than the number sent if Send actions included cards to multiple recipients

Number of Recipient Responses

Indicates the number of eCard recipients who performed some action

New Registration

Indicates if this constituent record was the result of a new registration via eCard

Registration from Campaign

If this registration is new, indicates the name of the eCard campaign that resulted in the registration
