Email Campaign Message Performance Report

The Message Performance Report compares statistics for each email message sent within an email campaign.

This report uses summary data automatically updated and rolled up every 4 hours for each delivery sent within the last 7 days. The frequency of the recurring data rollup task (240 minutes or 4 hours) is set in the EMAIL_STATS_TASK_INTERVAL site option. The window of deliveries to process is set in the EMAIL_STATS_AUTO_UPDATE_INTERVAL site option. Although the default is 7 days to specify to only continue processing delivery rollup stats for deliveries sent within the last week, this number can be increased to 14 days. It is important to note that increasing this number will cause the report processing to take longer and use more resources, which may affect system performance. For assistance with these site options, contact Support.

Note: For a specific delivery, you can manually process data rollups and updates on the Reports page in the Email application interface or Report Writer interface.

Using the Message Performance Report

Use the Message Performance Report to show the number of email messages that:

u       Were sent to constituents

u       Were not received by recipients due to hard bounces, such as bad email addresses

u       Were not received by recipients due to soft bounce temporary conditions, such as full mailboxes, ISPs that were unable to accept email at the time, and so on.

u       Were successfully delivered to constituents

u       Were opened by constituents

u       Constituents used the links in to click through to reach the target purpose of the email

u       Constituents took action on

u       Constituents forwarded to others via clicking the Tell-a-friend component

u       Constituents clicked unsubscribed to remove themselves from the email list

 

Running the Message Performance Report

To run the Message Performance Report:

1.       Click Email from the navigation bar of the Administrator Home Page.

2.           Click Email Campaigns in the drop-down list.

3.       Click the Campaigns tab in the Email Home page.

4.       Click the campaign name in the Email Home List table.

5.       Click the Reports tab.

6.       On the Reports page, click Message Performance Report.

7.       On the Select Messages page:

a        From All Selections, click the message name and click the Add button to move the message to the Your Selections box.

Tip: If you want to compare all of the campaign messages, click the Add All button and then click the Next button.

b        Click the next message name and click the Add button again.

c         Continue until you have selected all of the messages you want to compare.

d        Click the Next button.

8.       On the Submit report page:

a        Review the details of the report.

b        For the report label, type a descriptive name to help distinguish this Message Performance Report from other Message Performance Reports on the Reports page.

c         Click the Submit Report button. The system will display the Reports  page with Queued as the report Status.

9.       On the Reports page:

a        Click Refresh this page and wait until the system changes the Status to Completed. (You may need to click this more than one time.)

b        From the Actions column, click:

u  View to display the report in your browser.

u  Print to display the report in a printer-friendly format.

u  Download to save the report to a file and download the file to your local computer or shared network resource.

u  Delete to remove the report from the Reports list if you no longer need it.

 

Viewing the Message Performance Report

The Message Performance Report displays with the report label across the top along with the timestamp that shows when the report was run. If you have not entered a label, the system uses the report name (that is, Message Performance Report).

On the Message Performance Report page, you can click the First, Previous, Next, and Last links to move between multiple pages of the report.

Report Column

Description/Contents

Message Name

Name assigned to the message in the campaign.

Delivery Start Date

Date timestamp when the system began delivering the messages

Number Sent

Number of messages sent to constituents.

Hard Bounced

Number of messages not received by constituents due hard bounce conditions such as bad email addresses. Also displays the percentage of the total sent that this number represents.

Soft Bounced

Number of messages not received by constituents due to a temporary soft bounce condition (such as, full mailbox, ISP unable to accept emails at the time, and so on). Also displays the percentage of the total sent that this number represents.

Delivered

Number of messages that were successfully delivered to constituents. Also displays the percentage of the total sent that this number represents.

Opens

Number of messages that were opened by their recipients. Also displays the percentage of the total sent that this number represents.

Clickthroughs

Number of times the recipient clicked the link to reach the target purpose of the email (such as a fundraiser). Also displays the percentage of the total sent that this number represents.

Actions Taken

Number of actions taken by the recipients of the message. Also displays the percentage of the total sent that this number represents.

Tell-A-Friends Sent

Number of times a recipient used the Tell-A-Friend component to forward the email message to another email address. Also displays the percentage of the total sent that this number represents.

Unsubscribes

Number of recipients who have unsubscribed to remove themselves from the email list. Also displays the percentage of the total sent that this number represents.
