Managing Report Folders

You can create a structure of top-level and sub-level folders to help organize the reports for your site. You can then assign your reports to those folders when creating new reports or directly from the Report List itself.

Once your structure is in place, you can select a folder in the folder directory tree at the left of the Report List to display only the reports in that folder. This is especially helpful if you run many reports.

Important: When you run a report that is in a folder, the results will also be placed in that folder, so you are simultaneously organizing your report configurations and your report results.

Creating a Report Folder

Report folders display in alphabetical order within parent folders in the folders area in the left of both the Reports and Report Results lists.

To create a new folder:

  1. On the Reports list page, click the Manage Report Folders link. The Manage Report Folders page displays.
  2. In the Report Folders list, click the name of the folder under which this folder should be created, or click Top-Level Folder or Custom Reports to place the folder at the highest level.
  3. In the Create a New Folder area, enter the Name for the new folder and click the Create New Folder button. The folder is added in alphabetical order under the parent, or top folder, highlighted in the Report Folders list (to the left).
  4. Click the Finish button to return to the Report List page.

Assigning a Report to a Folder

Typically, you assign your reports to folders as part of the configuration flow when creating or editing a report configuration. However, you can also assign reports to folders directly from the Reports list page.

To move a report to a folder on the Reports list page:

  1. From the Reports list page, locate the report and click the checkbox to the left of the Name of the report (or, reports) to move.
  2. In the Move Selected To drop-down list (at the top of the list), click the name of a folder and then click the Move button. The report moves into the folder.

Displaying the Reports in a Folder

You can open a folder and display its contents by clicking directly on the name of the folder. If only the parent folder is displayed, click the plus sign (+) next to a folder or Expand All.

Note: Use the same approach on the Results List page to display the results in any specific folder.

Editing a Report Folder Name

You can change the name of a folder from the Manage Reports Folders page.

To edit the name of a folder:

  1. From the Reports list page, click the Manage Report Folders link. The Manage Report Folders page displays.
  2. From the Report Folders list, click the Name of the folder to edit and click the Edit Folder button. The Edit Report Folder page displays.
  3. Enter a new Name for the folder and click the Finish button. The Manage Report Folders page displays with the folder's new name showing..

Changing the Parent Folder of a Folder

You can change the parent folder of a Report folder to change where the folder resides in the hierarchy.

To change the folder position:

  1. From the Reports list page, click the Manage Report Folders link. The Manage Report Folders page displays.
  2. From the Report Folders list, click the Name of the folder to edit and click the Edit Folder button. The Edit Report Folder page displays.
  3. From the Parent Folder drop-down list, click the appropriate option and click the Finish button. The Manage Report Folders page displays.

Deleting a Folder

You can delete a folder and all of its subfolders when it is no longer need.

To delete a folder:

  1. From the Reports list page, click the Manage Report Folders link. The Manage Report Folders page displays.
  2. From the Report Folders list, click the Name of the folder to edit and click the Delete Folder button. The Delete Report Folder confirmation page displays.
  3. Click the OK button. The Manage Report Folders page displays.
