Reward Points Redemption Report

The primary purpose of the Reward Points Redemption Report is to allow you to fulfill requests for Rewards that your constituents have selected.  The report contains contact information for those constituents as well as the quantity ordered.  You can also configure the report to contain honoree information and the answers to any questions you have included on the Reward Redemption page.


Running this report on a periodic basis will allow you to see all new requests for Rewards and fill them promptly.  A column in the report allows you to mark the request as fulfilled, which can serve as a record if you should need it at a later date.

 

Use the Reward Points Redemption Report to show:

u       A list of all constituents who have requested a particular Reward.  The report can include contact information for each constituent as well as the quantity requested.  You can mark each request as fulfilled, which can serve as a convenient record for future reference. 

u       Honoree information that constituents have included on the reward redemption form; this can be important if your rewards are such that a constituent may wish to honor someone with their reward selection (such as a tree planting program)

u       The answers to any questions you have asked on the Redemption form.

u       The total number of constituents who have ordered a particular reward, the total quantity of that reward that was requested, and the total points redeemed for that reward.


Run the Reward Points Redemption Report as follows:

1.       From the navigation bar, click Data Management and then click Reports from the drop-down list displayed. The Report Selection page opens.

2.       Click the plus sign (+) beside the Rewards Reports folder to display the contents of the folder.

3.       Click the link for the Reward Points Redemption Report.

4.       On the Report Configuration screen that opens, choose the specific Reward for the report from the drop-down menu of available Rewards.

5.       Choose a Redemption Date for this report.  Choices include:

u       Predefined Date Range (such as All Dates, This Month, This Calendar Year, etc.)

u       Custom Date Range (choose exact dates from the date menus provided)

Tip: Running this report on a periodic basis, such as monthly, will allow you to see all new requests and fill them promptly.

6.       Choose whether to include the following fields in the report by placing a check mark in the corresponding boxes:

u       Contact Information includes Address, Email, and Phone (if available); these fields will be important to include so that you can mail the reward, or at least send an email regarding the reward.

u       Redemption Information includes the Reward Selected, Redemption Date, Quantity requested, Points Redeemed, whether the request has been Fulfilled, and a column that allows you to Change the Fulfillment status ; again, these fields will be important if you are planning to fulfill the requests.

u       Honoree Information includes Honoree Name, Address, and Email where appropriate, as well as an indication of whether the Honoree is deceased; these fields may be important if your rewards are such that a constituent may wish to honor someone with their selection (such as a tree planting program)

u       Additional Questions includes answers to any questions you asked on the redemption page.

7.       Decide whether to Sort the report by Name or Redemption Date.

8.       Provide a Label for this report to help you identify it at a later time.  (If you do not provide a label, “Reward Points Redemption Report” and the date will identify the report.)

9.       Click the Submit Report button.  The system will display the Report Results List with Queued as the Status of your report.

10.   Click the Refresh button to update the Status of the report.

11.   When the Status indicates that the report has been Completed, click one of the following icons beside the report:

View Icon  (View) icon to display the report on your computer.  You can save or print the report from the displayed view or add the results to a group.  You can also click the Add to My Reports link, provide a brief Description, and click Save if you would like to add this report -- with this configuration -- to the My Reports folder.

Print Icon  (Print) icon to print the report via your standard Print application.

download_icon  (Download) icon to download the file to your local computer or shared network resource.

Remove Icon  (Trashcan) icon to delete the report if you no longer need it.

 

View the Results of the Reward Points Redemption Report

The Reward Points Redemption Report provides contact information for constituents who have requested Rewards, thus allowing you to fulfill their requests.  In addition to the following columns, the report also includes the Total Record Count, the Total Quantity, and the Total Points Redeemed.


Depending on how you set up the configuration, your report will contain some or all of the fields listed below:

Email address of the constituent who redeemed reward points; Clicking on the email link in each record will open an email window already addressed to the constituent so that you can notify the constituent that their request is being filled (if you choose).

Address 1

Street Address 1 of the constituent redeeming reward points

Address 2

Street Address 2 of the constituent redeeming reward points

City

City of residence of the constituent redeeming reward points

State

State of residence of the constituent redeeming reward points

Zip

Zip Code of the constituent redeeming reward points

Phone

Phone of the constituent redeeming reward points

Redemption Date

Date the constituent made the request for the reward

Number requested

Points Redeemed

Number of points used in redeeming the reward; equal to the Quantity requested times the number of Reward Points required for one such item

Fulfilled

Yes or No indicates whether this request has been fulfilled; you can change this value using the column that follows

Change Fulfillment

Click this link to change the value in the ‘Fulfilled’ column from No to Yes or vice versa.

Important: After clicking this link, you will not see the change reflected in the Fulfilled column until the next time you run the report.

Honoree First Name

First Name of the person being honored by this redemption

Honoree Middle Name

Middle Name of the person being honored by this redemption

Honoree Last Name

Last Name of the person being honored by this redemption

Honoree Street 1

Street 1 Address of the person being honored by this redemption

Honoree Street 2

Street 2 Address of the person being honored by this redemption

Honoree City

City of residence of the person being honored by this redemption
