Adding a New Local Company
Most local companies will be entered into the TeamRaiser event to support teams of participating employees. Many of these companies will also be sponsors of the event by giving money, merchandise, or services of some kind. Other companies can be set up with just sponsorship details.
As you add a company, you can set up to 3 levels within the company under which teams can be formed. You can set up a Company with different Facilities as the second tier or level and then with Departments as the third tier or level. Or, you can set up the Company and then a Facilities level or the Company and a Departments level. You can opt to have only the Company with no levels (which is the default).
You may also identify Company Coordinators in several areas or have only one Company Coordinator overall.
It is important to note that companies are added in the Confirmed status by default, which means they will display in selection lists and search results. You can change a company to the Prospect status to keep it from public display.
To add a new company:
- After logging into the site, click the link to access the TeamRaiser. The list of actions for this TeamRaiser display along with the Manage this Event link.
- Click the Manage this Event link. The Event Management Center page displays.
- Click Customer Service from the top navigation bar. The Customer Service splash page displays.
- From the Related Actions list, click Manage Companies. The Local Companies list page displays.
- From the Related Actions list, click Add a new company. The Identify Company page displays.
- On this page, for:
Note: Some fields may not display if the appropriate event option has not been enabled.
- Company Name, enter the name that the company would like to be visible on the Web pages and reports that reference companies associated with this TeamRaiser.
- Notes, enter information that other administrators who can access the Companies information may want to know.
Tip: If this company is a sponsor only, you can simply click Next at the bottom of this page, exit this flow, and click Edit Sponsorship Details from the Actions column of the company. For assistance, refer to Editing Sponsorship Details. - Company Hierarchy, to build the company selection list so team captains can associate their teams at the:
- Main level of this company only, leave No Facilities or Departments selected
- Either the main level or the facility levels of this company, click Only Facilities
- Either the main level or the department levels of this company, click Only Departments
- At any of the three levels of this company, click Both Facilities and Departments
- Company Fundraising Goal, enter the monetary amount that the company has been asked or intends to provide to the TeamRaiser event through participating fundraising teams or gifts.
- Company Team Recruitment Goal, enter the number of teams that this company intends to get to participate in this TeamRaiser event.
- Company Participant Goal, enter the number of participants that this company intends to get to participate on their teams in this TeamRaiser event.
- Company Priority, select the appropriate reporting classification with which this company will be grouped.
- Number of Employees, enter the number of people employed by this company.
- New Company to this TeamRaiser, to flag this company (in reports) as:
- Having participated in past TeamRaiser events, leave the Yes, this is a new company checkbox unselected.
- Or, new to this, click the checkbox.
- Additional Custom Company Detail 1, enter a detail that coincides with this TeamRaiser to include in reporting (for example, Wear Red Day contributions).
- Additional Custom Company Detail 2, enter another detail that coincides with this TeamRaiser to include in reporting (for example, Wear Red Day contributions).
- Internal Staff Contact, enter the first and last name of the person who contacted the company about participating.
- Volunteer Manager, enter the first and last name of the person who volunteered from your organization to work with the company and its coordinator.
- Participation Status, if this company is:
- Already committed to having teams or giving gifts to the TeamRaiser event, leave the Confirmed option selected.
- Or, on a list and has not already committed to participating in this TeamRaiser event, click the Prospect option.
- Click Next. The Identify Company Coordinator page displays.
- Enter the appropriate information for the person who will work with the teams for this company.
Notes: (1) If this company has multiple levels, you can designate an overall Company Coordinator here or have this coordinator work only with teams designated on the Company level. You can leave this blank if all teams will be associated at the other levels and the different coordinators will be assigned at those levels.
(2) If the coordinator is also participating in the event as a Team Captain, you can leave this blank and assign the Team Captain as the coordinator in the constituent record of the captain.
(3) If you enter the name or email address that matches a constituent/participant already in the database, the Resolve Constituent fields display on the page for you to select the existing record or create a new record. - Click Next. The Identify Executive Champion page displays.
- Enter the appropriate information for the person who will be the primary contact for information and questions about general company involvement in the TeamRaiser.
- Click Next. If you:
- Did not select one of the Facilities or Departments options above, the Review Details page displays and you can skip to Step 11.
- Selected one of the Facilities or Departments options, the Organize Company Tree page displays.
- To set up the:
- First level, (or Facility unless you selected Departments only in the Company Hierarchy step):
- Click the company name. A small pop-up with the option to add a new facility (or department) and edit or delete the company displays (either to the far right or below the hierarchy area).
- Click Add a New Facility (or, Add a New Department). The Define Level in Hierarchy page displays.
- On this page, for:
- Level Name, enter the name that the company would like to be visible on the Web pages and reports that reference companies associated with this TeamRaiser
- Notes, enter details that other administrators may need to know about this level in the company hierarchy structure
- Level Fundraising Goal, enter the monetary amount that the company has been asked or intends to provide to the TeamRaiser event through participating fundraising teams or gifts at this level.
- Level Team Recruitment Goal, enter the number of teams that this company intends to get to participate in this TeamRaiser event at this level.
- Level Participant Goal, enter the number of participants that this company intends to get to participate on their teams in this TeamRaiser event at this level.
- Click Next. The Identify Company Coordinator page displays.
- Enter appropriate information for the person who will work with the teams in this level for this company.
Notes: (1) You can leave this blank if you have designated overall Company Coordinator at the Company level.
(2) If the coordinator is also participating in the event as a Team Captain, you can leave this blank and assign the Team Captain as the coordinator in the constituent record of the captain.
(3) If you enter the name or email address that matches a constituent/participant already in the database, the Resolve Constituent fields display on the page for you to select the existing record or create a new record. - Click Next. The Review Level Summary page displays.
- On the Review Details page, verify that the information is correct and click Finish. The Organize Company Tree page displays.
- Repeat the steps above for each facility or department to be created under this company.
- Second level (that is a department):
- Click the company name and then click the facility under which to create the department. A small pop-up with the option to add a new Department to the level and edit or delete this Facility (either to the far right or below the hierarchy area).
- On this page, for:
- Level Name, enter the name that the company would like to be visible on the Web pages and reports that reference companies associated with this TeamRaiser
- Notes, enter details that other administrators may need to know about this level in the company hierarchy structure
- Level Fundraising Goal, enter the monetary amount that the company has been asked or intends to provide to the TeamRaiser event through participating fundraising teams or gifts at this level.
- Level Team Recruitment Goal, enter the number of teams that this company intends to get to participate in this TeamRaiser event at this level.
- Level Participant Goal, enter the number of participants that this company intends to get to participate on their teams in this TeamRaiser event at this level.
- Click Next. The Identify Company Coordinator page displays.
- Enter appropriate information for the person who will work with the teams in this level for this company.
Notes: (1) You can leave this blank if you have designated overall Company Coordinator at the Company level.
(2) If the coordinator is also participating in the event as a Team Captain, you can leave this blank and assign the Team Captain as the coordinator in the constituent record of the captain.
(3) If you enter the name or email address that matches a constituent/participant already in the database, the Resolve Constituent fields display on the page for you to select the existing record or create a new record. - Click Next. The Review Level Summary page displays.
- On the Review Details page, verify that the information is correct and click Finish. The Organize Company Tree page displays.
- Repeat the steps above for each Department to be created under this company.
- When you have finished creating the company tree, click Next. The Review Details page displays.
- If the information is correct, click Finish. The Local Companies list page displays with your new company in the list.
If the company gives you sponsorship money, you can add these sponsorship details to their record. For assistance, refer to Editing Sponsorship Details.
