Uploading Responses to Registration Questions

If your registration forms contain Additional Questions, you can upload these responses as part of the registration upload or as a separate process. Before you upload your file, you can test it to verify the information (for example, to determine if the response has already been recorded or if the participant has not registered yet).

Understanding the Question Responses Upload File Format

All Questions must already exist, which means they were created for a participation type. It is very important to be sure that each response is applicable to the question format (for example, cannot enter TRUE for a YES/NO Question Type).

Note: You cannot upload responses to Multiple Choice Multiple Response questions.

The Question Responses Upload file must contain certain columns with valid values and others may be optional depending on settings in the TeamRaiser event configuration. To properly identify the questions, you must supply values in the QUESTION_ID and QUESTION_RESPONSE columns.

The following table lists the required columns for this Upload file and any important notes about the values entered in them. The columns in Participant Registration Upload file are valid in this file along with the QUESTION_ID and QUESTION_RESPONSE columns.

Note: For your convenience, you can access and download a sample CSV file to use as your guide. Refer to Downloading the Sample Question Responses CSV File.

COLUMN NOTES
QUESTION_ID Required. The values in this column must match exactly with the database ID for a configured question.

To locate this ID:
  1. In the left navigation area, click the Edit Participation Types option to display the Participation Types List.
  2. Click the Edit action of the participation type.
  3. Mouse over the question in the Questions List.
  4. In the string that displays in the status bar at the bottom of the page, locate the fr_participation_id. (You may need to maximize your browser window to see the entire string).
QUESTION_TEXT Should be entered for clarity
QUESTION_RESPONSE Required. Be sure the answer format matches the question format.

Note: You cannot upload Multiple Choice Multiple Response questions.
CONS_ID
To locate this ID:
  1. Click Customer Service from the top navigation.
  2. Click Manage Participants from the Related Actions to display the Participants List.
  3. Mouse over the Edit action.
  4. In the string that displays in the status bar at the bottom of the page, locate the cons_id at the end of the string.
MEMBER_ID The values in this column can be used to match the database ID associated with the participant in an offline database.  Recommended if you use Convio Data Sync.

If the participant with this member ID already exists as a constituent in the Convio Constituent360 database, it must match exactly.
USERNAME You can delete this column in most cases.

If the column is left blank (or, deleted), Convio assigns the email address as the username.

If the column contains a value, it will replace the username in an existing contact record, which will cause problems for your participant.
FIRST_NAME Required along with last name UNLESS the email address is provided.

Highly recommended because many TeamRaisers are configured to allow more than one person to share an email address.
LAST_NAME Required along with first name UNLESS the email address is provided.

Highly recommended because many TeamRaisers are configured to allow more than one person to share an email address.
EMAIL Required unless BOTH first name and last name are provided.

Highly recommended

It is important to be sure data is entered properly to avoid common errors, such as:

  • This question has already been answered by the given participant, which may occur if you enter the wrong QUESTION_ID or PART_CONS_ID
  • Ambiguous constituent match, which may occur if you enter the wrong PART_CONS_ID
  • No constituent found or created, which may occur if you enter the wrong PART_CONS_ID

Downloading the Sample Question Responses Upload CSV File

For your convenience, you can an access and download a sample CSV file to use as a guide to entering the required information and other information in the appropriate format.

To download the Sample Question Responses Upload CSV file:

  1. On the Upload List page, click Upload Registrations from the Related Actions area. The Configure Parameters page displays.
  2. In the Process Navigator, click step 2. Upload File. The Upload File page displays.
  3. Click the SampleSurveyUpload.csv file link. The sample file opens.

    Note: If you are using Microsoft Internet Explorer 6 as your Web browser, a warning message may display (on the Administrator Login page) that tells you the file may not display properly. To clear the message, click the Back button on the browser window.

    To avoid the problem completely, right-click and select the Open in New Window option so you can work directly with the file. Or, right-click, select the Save Target As option, and save it to your desktop where you can then open it in an appropriate application (such as Microsoft EXCEL or OpenOffice Calc) or right-click and open it in a new Window.
  4. Save the file to your local computer with a meaningful name (for example, FunRun07_GiftUpload_Week3).

Note: Contact Convio Support if you have questions about adding a new column to a file to be sure it will match the information for a TeamRaiser item.

Testing Your Question Responses Upload File

You can upload a file of survey responses to resolve any errors before you actually process the file. You can look at the error codes and fix your file before uploading it again.

To test your upload file:

  1. On the TeamRaiser List page, click the Uploads tab. The Upload List page displays.
  2. In the Related Actions, click Upload Survey Responses. The Configure Parameters page displays.
  3. For Upload Name, enter a new label for this file to make it easier for administrators to identify in the Upload List. If you do not enter a new label, the system will assign the timestamp that corresponds to the date and time you uploaded the file.
  4. For Test Mode Only, click the checkbox to add a check mark.
  5. Click the Next button. The Upload File page displays.
  6. Click the Browse button, navigate to the file, and click the Open button. The file name displays in the field.

    Note: Click the Preview button to load the file into a small area that will open on the page.
  7. Click the Finish button. The Upload List page displays again with your file in the list and Uploading as the Status.
  8. Click the Refresh this page link until Complete displays as the Status.
  9. To determine the number of records that were uploaded and new constituents that were created:
    1. Click Review from the Actions column. The Upload Results page displays.
    2. When you are done, click the Finish button. This page closes.

If your uploaded file contains errors (for example, the Status is Complete with Errors), refer to Viewing and Fixing Upload File Errors.

Uploading the File and Processing the Question Responses

When you are ready, you can upload your file and process the Question responses so they are recorded in the online Profiles.

To upload question responses and process them:

  1. On the TeamRaiser List page, click the Uploads tab. The Upload List page displays.
  2. In the Related Actions, click Upload Registrations. The Configure Parameters page displays.
  3. On this page, for:
    1. Upload Name, enter a new label for this file to make it easier for administrators to identify in the Upload List. If you do not enter a new label, the system will assign the timestamp that corresponds to the date and time you uploaded the file.
    2. Test Mode Only, leave the No do not process records checkbox unchecked.
  4. Click the Next button. The Upload File page displays.
  5. To select the file to upload from your personal computer or shared network resource, click the Browse button, navigate to the file, and click the Open button. The file name displays in the field.

    Note: Click the Preview button to load the file into a small area that will open on the page.
  6. Click the Finish button. This page closes and the Upload List page displays again with your file in the list and Uploading as the Status.
  7. Click the Refresh this page link until Complete displays as the Status.
  8. To determine the number of records that were uploaded and new constituents that were created:
    1. Click Review from the Actions column. The Upload Results page displays.
    2. When you are done, click the Finish button. This page closes.

If your uploaded file contains errors (for example, the Status is Complete with Errors), refer to Viewing and Fixing Upload File Errors.
