Working with the Event Autoresponders

Autoresponders are the automatic emails that will be sent to event participants and donors after they take a specific action within the system (such as completing registration or making a donation in support of a participant). An event administrator configures the TeamRaiser autoresponders to include general information about the TeamRaiser. You can add event information to the autoresponder as well as edit parts of the message envelope.

To work with an event autoresponder:

  1. From the Event Management Center, click Event Emails. The Event Emails page displays.
  2. Click Edit Autoresponders. The Autoresponders list page displays.
  3. To preview the autoresponder to see how will look to a recipient, click Preview from the Actions column of the autoresponder. The message displays in a separate window that you can close when finished viewing.
  4. Click Edit from the Actions column of the autoresponder. The Edit Message Envelope and Select Stationery page displays.
  5. On this page, for:
    1. Sender’s Name, enter the name to display in the From area when this autoresponder is in the mailbox of recipients.
    2. Sender’s Email Address, enter the email address to which any replies to the autoresponder email will be sent.
    3. Subject Line, enter the subject to display when this autoresponder is in the mailbox of recipients.
    4. Message Stationery:
      • Leave the Blank Stationery option selected.
      • Or, click the radio button of the appropriate stationery to add header, footer, and sidebar elements defined in that stationery.
  6. Click the Next button. The Event Manager Content page displays.
  7. Enter your text and click the Finish button. The Autoresponders list page displays.
  8. To preview your work, click Preview from the Actions column of the autoresponder. The message displays in a separate window that you can close when finished viewing.

Understanding the Purpose of Each TeamRaiser Autoresponder

The following table shows the event that triggers each TeamRaiser autoresponder and to whom it is sent.

Thank You for Forming a Team Person registers online by forming a team and becomes Team Captain Team Captain Participants This is the version that Team Captains receive instead of Thank You for Registering.

To add the link to the Participant Center, select TeamRaiser from the Links menu, select Options, and select Participant Center from the Page List drop-down.

Thank You for Registering Person registers online by joining an existing team or as an individual participant Team Member Participants and Individual Participants Do not overload this message with too much content.  Instead, add the link to the Participant Center  where you can present more detail as well as dynamic content. If you change the suggested text, be sure you make it very clear that the Participant Center home page is the primary source for event information.
Someone Has Registered You Person enters additional registrants (for example, a family member) while registering online Secondary Registrant Participants Include an autologin link to the Participant Center with the username and password
Sample Solicitation to Forward Person registers online All Participants Although, you may disable this autoresponder and create a new template message (available from the Suggested Messages area) with graphics, links, and other HTML elements, some of the tracking options from this autoresponder may be lost. You can use the HTML Editor to add these elements directly in  the customized version of the autoresponder to retain the tracking elements.

As of Version 5.3, you can select a stationery to define content in the header, footer, and sidebars around the message content.

Thank You for Your Gift Person makes a donation in support of a participant, team, or the event. Donors If you disable this, the donor does not get a thank you autoresponder
Offline Gift Thank You Administrator enters a gift that a donor has mailed in, phoned in, or dropped off

Participant enters a gift that a donor gives to them (if function is enabled)

TeamRaiser Registration Full Refund Administrator processes a full refund of registration fees (including an additional gift and any registration upsells) to a participant through the appropriate link in their Profile or the Transaction Manager Participants
