Entering a Gift that a Donor Gives to You

You can record cash or checks gift that that someone has given to you or promised to you so that the system can keep track of it in your fundraising totals. If the organization has credit-card processing enabled, you can also enter a credit-card payment for a gift.

All cash, check, and pay later gifts that you enter are unconfirmed until the organization’s fundraising administrative staff receives cash or check payment and marks them confirmed. Credit-card payments are processed when you enter them and are considered confirmed.

When you enter the gift amount, it may update your fundraising amounts and goal (if applicable) that displays on your fund page and the Fund Summary page.

Step 1: Display the Fund Summary Page

Click Fund Summary Icon_ChampionCenter_FundSummary from the top of a Champion Center page (or the Fund Summary link from the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Center or Champion Dashboard link to locate the fund you want to work with.

Step 2: Display the Enter Offline Gifts Page

Click the Enter Gifts Received Offline link.

Step 3: Enter Information About the Donor

  1. Click into the First field and enter the first name of the donor.
  2. Click into the Last field and enter the last name of the donor.
  3. Click into the Email field and enter the email address at which the donor receives email.
  4. You can also optionally, click the:
    • Title drop-down menu and click the appropriate Mr, Mrs, Ms, Miss, or Dr option to display in front of the name of the donor.
    • Middle field and enter the middle name of the donor.
    • Suffix drop-down menu and click the appropriate Jr, Sr, III, or IV option to display in after the name of the donor.
    • Street 1 field and type the residential or mailing address of the donor.
    • Street 2 field and type the suite number, apartment, or other address information for the donor.
    • City field and type the city that corresponds to the street information above.
    • State drop-down menu and click the two-letter abbreviation for the state in which the donor resides.
    • ZIP field and type in the five-digit ZIP or postal code that corresponds to the information supplied above.

Step 4: Enter the Gift Amount

Click into the Gift Amount field and type the monetary amount of the gift.

Step 5: Select the Payment Type

For Payment Type, to record a payment by:

  • Cash, leave the Cash option button selected.
  • Check, click the Check option button and then enter the number on the check in theCheck Number field.
  • Credit card: (if allowed)
    1. Click the Credit Card option button. Several Credit Card Information fields display.
    2. Click into the Credit Card Number field and enter the card number. You can enter spaces or simply type all of the numbers and letters.
    3. If displayed, click into the CVV Number field and enter the appropriate card verification number listed on the card.
    4. If displayed (for Switch/Solo cards), click into the Issue Number field and enter the appropriate information.
    5. For Expiration Date, click the appropriate month and year drop-down lists to select the when the card expires.
  • Withdrawal from a bank account: (if allowed)
    1. Click the Bank Account Withdrawal option button. Several Bank Account information fields display.
    2. Click into the Bank Routing Number field and enter the routing number of the bank from which the account will be charged for the payment.
    3. Click into the Bank Account Number and enter the account number that will be charged for the payment.
    4. Click into the Verify Bank Account Number and enter the account number again.

Step 6: Enter the Name for the Donor Honor Roll

Click into the Name for the Gift List field and enter the name to display in the Donor Honor Roll that displays on your fund page, and any other status indicators that have been added. If you leave this blank, Anonymous will display.

Step 7: Process the Gift Transaction

If this is:

  • The only gift to enter, click the Save button. The Fund Summary page displays again.
  • One of several gifts to enter, click the Save and Add Another button. A new blank Enter Offline Gifts page displays.
