Uploading Registration and Question Responses Together

If the appropriate site option is enabled, you can upload information from the registration form that participants submit as well as their responses to registration questions all in one file for each Participation Type offered in the TeamRaiser event.

Note: By default, the registration information and question responses must be uploaded in separate files.

If the participant registration is the first interaction for that person on your site, the system creates the TeamRaiser event registration record and a constituent record for that person. The registration record contain some, but not all, of the same information being maintained in the constituent record.

You can also use the information from the registration upload file to update the registration record and the constituent record of the participant. The upload process will follow the typical uploading rules. If a column in the upload file contains a value, the system will replace an existing value or blank field in the constituent record with the uploaded value. If a column in the uploaded file is left blank but a value exists in the corresponding constituent record, the value in the constituent record is not replaced. The exception is the address fields, which are considered one block and any changes to existing values must be improvements (such as filling in a missing ZIP Code) when the system uploads information.

Before you actually upload the file, you can test it to resolve errors that may occur.

For convenience, a sample CSV file is available for you to download and use as your guide. To understand the columns in the file, click the Column Details link next to the sample file link.

Downloading the Sample Participant Registration Upload CSV File

The Participant Registration Upload file must contain certain columns with valid values while other columns may be optional depending on settings in the TeamRaiser event configuration. To understand the columns in the file, click the Column Details link next to the sample file link.

To properly create a new constituent record in the Constituent360 database if the person does not already have one, you must supply values in the FIRST_NAME, LAST_NAME, and EMAIL columns.

Note: You cannot add a column to mark the Personal Page to Private in an upload file.

  1. From the options along the top of an Event Management Center page, click Customer Service
  2. From Related Actions on the Customer Service task page, click Upload Files.
  3. From Related Actions on the Uploads page, click Upload Registrations.
  4. On the Set Options page, click a Participation Type (in step 2) and then click Next.
  5. On the Upload File page, click the SampleRegistrationUpload.csv file link.
  6. Save the file to your local computer with a meaningful name (for example, FunRun07_Registrations_Week3).

Testing the Upload File

You can test the upload file to verify that the system created new records or updated existing ones as expected. If the upload file contains errors, you can download the errors and correct the file.

  1. From the options along the top of an Event Management Center page, click Customer Service
  2. From Related Actions on the Customer Service task page, click Upload Files.
  3. From Related Actions on the Uploads page, click Upload Registrations.
  4. On the Set Options page:
    1. Upload Name, enter a word or phrase that describes the purpose of this upload. If you do not enter a label, the timestamp that corresponds to the date and time you uploaded the file is used.
    2. Participation Type, click the appropriate option from the drop-down list.
    3. Test Mode Only, click the checkbox to add a checkmark.
    4. Existing Contact Record Updates Allowed, click the checkbox to add a checkmark if the system should add values from the upload file to the corresponding fields in the constituent record (except for address information, which may only be improved to add missing information like a ZIP Code or second address line). Note: Columns left blank in the upload file will not overwrite values in the corresponding constituent record fields.
    5. Existing TeamRaiser Registration Profile Updates Allowed, click the checkbox to add a checkmark if the file contains existing participants whose registration records can be modified with values from the upload file. Note: Columns left blank in the upload file will not overwrite values in the corresponding registration record fields.
    6. Address Matching Criteria, optionally click the checkboxes to determine the information that the system should use if existing records are found in the Constituent360 database to match an existing constituent.
  5. Click Next.
  6. On the Upload File page, click the Browse button, navigate to the upload file, and click the Open button.
  7. Click the Preview button to load the file into a small area that will open on the page.
  8. Click Finish.

When you return to the Uploads page to check the status of this uploaded file, you can Review the statistics to determine the number of records created or updated and so on.

If your uploaded file contains errors (for example, the Status is Complete with Errors), refer to Viewing and Fixing Upload File Errors.

Uploading and Processing Participant Registrations

When you are ready, you can upload a valid registration file to create new participants for a TeamRaiser event and update registration information for existing participants.

  1. From the options along the top of an Event Management Center page, click Customer Service
  2. From Related Actions on the Customer Service task page, click Upload Files.
  3. From Related Actions on the Uploads page, click Upload Registrations.
  4. On the Set Options page, for:
    1. Upload Name, enter a word or phrase that describes the purpose of this upload. If you do not enter a label, the timestamp that corresponds to the date and time you uploaded the file is used.
    2. Participation Type, click the appropriate option from the drop-down list.
    3. Test Mode Only, be sure the checkbox does not contain a checkmark.
    4.
