Importing Contacts into Your Address Book from Microsoft Outlook

Microsoft Outlook has an Export Wizard application that moves the First Name, Last Name, and Email Address of each contact into a comma separated values (csv) file that the Convio Address Book can use to fill in the corresponding information.

Earlier versions of this mail application converted the appropriate information into a valid csv format with the first name, last name, and email address entries that the Address Book could use directly. If you are using Microsoft Outlook 2003 or later, you must create a generic .csv file by mapping the three values directly (included in these instructions).

Step 1: Display the Microsoft Outlook Import and Export Wizard

From the Microsoft Outlook File menu, click Import and Export. The Import and Export Wizard window opens.

Step 2: Create an Export File

Click Export to a file and then click the Next button. The Export to a File window opens with file type choices displayed.

Step 3: Specify the File Type for the Exported File

Click Comma Separated Values (Windows) and click the Next button. Your Outlook Mailbox folder list displays in the window.

Note: If the Install Microsoft Import/Export Engine message displays, follow the directions on screen before you continue.

Step 4: Locate the Existing Contacts Folder

From the folder list, click the Contacts folder and then click the Next button. The Save exported file as field displays in the window.

Note: If more than one Contacts folder (for example, one under Mailbox and one under Personal Folders), be sure to select the Contacts folder containing the information you want to upload.

Step 5: Place the Export File in the Correct Location On Your Personal Computer

  1. Click the Browse button. The Browse pop-up window opens.
  2. Navigate to the correct location on your personal computer where you want to place this file for the eventual upload (such as, the My Documents folder).
  3. Type in the name of the file (for example, OutlookContactsUpload). Be sure the file name ends in the .csv extension.
  4. Click the OK button. The pop-up window closes and the file name displays in the field.
  5. Click the Next button. The Export Contacts from the Contacts folder action checkbox displays in the window.

Step 6: Map the Values to Use in the Export File (Outlook Version 2003 or later)

If you are using a Version of Microsoft Outlook before 2003 (such as Outlook 97 or 2000), skip to Step 7.

Otherwise, for Microsoft Outlook 2003 and later, you must map the field and values for contact names and email addresses to create them in a valid generic csv file:

  1. Click the Map Custom Fields button. The Map Custom Fields window opens.
  2. Near the lower right corner, click the Clear Map button. The values in the To area are removed.
  3. In the From area, click the plus (+) sign next to the Name value. Several options display.
  4. Click First Name and then drag and drop it in the To box. First Name now displays in Field and Mapped from.
  5. Click Last Name and then drag and drop it in the To box. Last Name now displays in Field and Mapped from.
  6. Scroll down the Value list to Email and click the plus (+) sign next to it. Several options display.
  7. Click Email Address and then drag and drop it in the To box. Email Address now displays in Field and Mapped from.
  8. Click the OK button. The window closes and the Export to a File window displays again.

Step 7: Create the Contacts File

Click the Finish button. After a short delay, this window closes and the system creates a valid .csv file.
