Using Your Address Book

You can use your Address Book Champion Center Address Book Icon from the Champion Center to add the email addresses of your family, friends, and coworkers and then, in just a few clicks, select and send emails to them instead of typing the Send To addresses over and over again or risk mistyping them.

IMPORTANT: Neither our organization or Convio will send unsolicited, or spam, email to the contacts in this Address Book or sell the information to a third party. This information is strictly for your use.

If you use the Microsoft Outlook or Outlook Express, AOL, or Yahoo email application, you can import the information directly from that address book into this one. Or, you can create a comma separated values (.csv) file that contains the first name, last name, and email address of each contact and upload that file. You can always manually enter email addresses as needed.

Using this Address Book can save time by allowing you to build a contact list one time so you can simply select the addresses you need each time you want to send a fund-related email from the Champion Center. You can also log in from anywhere and use your Address Book because it is online instead of sitting on the hard drive of your personal computer.

Manually Adding Contacts to Your Address Book

You can type contacts and their email addresses into your Address Book at any time. The Add Contacts page enables you to add your contacts in groups of ten.

Step 1: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Center or Champion Dashboard link to locate the fund you want to work with.

Step 2: Display the Add Contacts Page

Click the Add Contacts button.

Step 3: Enter the First Name of the Contact

Click into the First Name field and enter the first name of your contact.

Step 4: Enter the Last Name of the Contact

Click into the Last Name field and enter the last name of your contact.

Step 5: Enter the Email Address of the Contact

Click into the Email Address field and enter the email address of your contact.

Step 6: Add the Next Contact

Repeat Steps 4-5 to add up to 10 contacts.

Step 6: Display the Next Page to Add More Contacts

Click the Save and Continue Adding button and repeat Steps 4-6 for each set of 10 contacts.

Step 7: Save the Contacts

Click the Save button. The system will display the Address Book page again with your contacts recorded.

Importing Contacts into Your Address Book

Instead of typing the information, you can easily import existing email address information you have from other email applications. Exporting information from an address book into an import file will put the information in a known format, such as comma separated values (CSV) file or a .prn file, that the system can recognize.

Importing Contacts from Your Microsoft Outlook Contacts Folder

You can import contacts by exporting your contacts from Microsoft Outlook 97 or later versions into a comma separated values (CSV) file and then importing the CSV file into your Address Book here.

Step 1: Prepare Your Outlook Export File

  1. Open the Microsoft Outlook application on your local computer.
  2. Click the File menu and click Import and Export.
  3. In the Import and Export Wizard, click Export to a file and click the Next button.
  4. Click Comma Separated Values (Windows) and click the Next button.
  5. Note: Some versions of Outlook may display the install the Microsoft Import/Export Engine message. Follow the directions on the screen before you continue.

  6. Click the Contacts folder in the navigation list and click the Next button.
  7. Note: You may see more than one Contacts folder (one under Mailbox and one under Personal Folders) so be sure to select the appropriate one.

  8. On the Save exported file as window, click the Browse button to navigate to the correct location from which you want to upload this file (such as, the My Documents folder) and type in the name of the file (for example, OutlookAddressBookUpload).
  9. Note: Be sure the file name ends in the .csv extension.

  10. Click the Next button.
  11. Click the Finish button. After a short delay, the system will display the message that the export operation finished successfully.

Step 2: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Center or Champion Dashboard link to locate the fund you want to work with.

Step 3: Display the Import Contacts Page

Click the Import .csv button.

Step 4: Locate the Prepared File

Click the Browse button to navigate to the .csv file that you prepared in Step 1.   

Step 5: Upload the File

Click the Upload Now button. After a short interval, the system will display the Address Book again with the number of new contacts successfully added to your Address Book message across the top of the page.

Note: Make sure the correct type of .csv file is selected in step 1 of upload on site.

Importing Contacts from Your Microsoft Outlook Express Contacts Folder

You can import contacts by exporting your contacts from Microsoft Outlook Express contacts into a comma separated values (CSV) file and then importing the CSV file into your Address Book here.

Step 1: Prepare Your Outlook Express Export File

  1. Open the Microsoft Outlook Express application on your local computer.
  2. Click the File menu and click Export.
  3. From the Export menu, click Other Address Book.
  4. Click Text File (Comma Separated Values) as the File Type.
  5. Click the Export button.
  6. Navigate to the correct location from which you want to upload this file (such as, the My Documents folder) and type in the name of the file (for example, OutlookExpress.csv).
  7. Note: Be sure the file name ends in the .csv extension.

  8. Click the Next button.
  9. Click the First Name, Last Name, and Email Address checkboxes to export those fields to the file.
  10. Note: Even if you have all the checkboxes selected, the system only uses those three fields in Your Address Book.

  11. Click the Finish button. After a short delay, the system will display the message that the export operation finished successfully.

Step 2: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Importing Contacts from Your Yahoo Mail Address Book

You can import contacts by exporting your Yahoo addresses into a comma separated values (CSV) file and then importing the file into your Address Book here.

Step 1: Prepare Your Yahoo Mail Export File

  1. Open the Yahoo Mail application and log in to your account.
  2. Click the Options link in the upper right corner of the page.
  3. In the Options box displayed, click Address Book.
  4. Click Import/Export (from the Management options).
  5. In the Export section, click the Export Now button next to Yahoo! CSV.
  6. In the File Download window, click Save.
  7. In the Save as window, navigate to the location on your local computer where the system should store this file and click the Save button.
  8. When the download is complete, click the Close button. The system will close the File Download window.

Step 2: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Dashboard link to locate the fund you want to work with (or the Champion Center link if you can create only one fund.)

Step 3: Display the Import Contacts Page

Click the Import Contacts button.

Step 4: Locate the Prepared File

Click the Browse button to navigate to the .csv file that you prepared in Step 1:

Importing Contacts from Your AOL Address Book

You can import contacts by exporting your AOL addresses into a .prn file and then importing the file into your Address Book here.

Step 1: Prepare Your AOL Export File

  1. Open the AOL application and log in to your AOL account.
  2. Click Mail and click More.
  3. Click Address Book.
  4. In the Address Book window, click the addresses you want to export and click the Print button.
  5. In the Do you wish to print (export) all addresses or selected addresses only? pop-up window, select the appropriate choice and then click the OK button.
  6. In the Print window, verify that the default printer is selected and that Type is Generic/Text only and then click the OK button.
  7. In the Print to File window, specify the location on your local computer where the system should store this file and Save the file.

Note: Be sure the file name ends in the .prn extension.

Step 2: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Center or Champion Dashboard link to locate the fund you want to work with.

Step 3: Display the Import Contacts Page

Click the Import Contacts button.

Step 4: Locate the Prepared File

Click the Browse button to navigate to the .csv file that you prepared in Step 1:

Importing Contacts from Another Email Application Address Book

If you use another mail application that can export to a comma separated values (CSV) file, you can prepare your file and use it to import your contacts into your Address Book here.

Step 1: Prepare Your Export File

Prepare your .csv file according to the directions for that application (see their online Help).

Step 2: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Step 3: Display the Import Contacts Page

Click the Import Contacts button.

Step 4: Locate the Prepared File

Click the Browse button to navigate to the .csv file that you prepared in Step 1:

Click the Upload Now button. After a short interval, the system will display the Address Book again with the number of new contacts successfully added to your Address Book message across the top of the page.

Building a Generic CSV File and Importing It

A CSV file is simply a text file of one line records with values that are separated by commas. The first record of the file is the header that identifies the values in each record.

You can use a plain text editor, such as Notepad, to create your CSV file. Or, use another application, such Microsoft Excel, where you can easily create a file with the fields of information in tabular form and then save the file in the csv format.

Step 1: Prepare Your CSV Export File

  • Using the sample csv file:
    1. Download the Microsoft Excel sample file. The system opens a Microsoft Excel spreadsheet on your computer.
    2. Click into the first field of the second row and type the first name of your contact.
    3. Note: Be careful to keep the first line of data in the file because it is necessary for the import processing.

    4. Press the Tab key to move to the second field and type the last name of your contact.
    5. Press the Tab key to move to the third field and type in the email address of your contact.
    6. Click into the next row and repeat the three steps above for each entry.
    7. When you are finished, click the File menu and click Save as.
    8. In the File name field, enter a name you will recognize or that describes the file content.
    9. Click the Save as type drop-down list and click CSV (Comma delimited).
    10. Click the File menu again and click Save.
    11. In the prompt that displays, click Yes.
    12. Click the X in the upper right corner to close the window.
  • By building a plain text file:
    1. Open a text application, such as Notepad.
    2. On the first line, enter the words First,Last,Email (use commas to separate the three words).
    3. On the next line, type in a contact by entering their first name, last name, and email address in the format above (for example, Pat,Smith,patsmith@friends.net).
    4. Save your file in a convenient location on your local computer.

Step 2: Display the Address Book

Click Address Book from the top of the Participant Center home page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Center or Champion Dashboard link to locate the fund you want to work with.

 

Click the Import Contacts button.

Step 4: Locate the Prepared File

Click the Browse button to navigate to the .csv file that you prepared in Step 1.

Step 5: Upload the File

Click the Upload Now button. After a short interval, the system displays the Address Book again with the number of new contacts successfully added to your Address Book message across the top of the page.

Editing the Name or Email Address of a Contact

You can edit a name or email address in your Address Book as needed.

Step 1: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Center or Champion Dashboard link to locate the fund you want to work with.

Step 2: Locate Your Contact

Scroll through the list or click the letter that corresponds to the last name of the contact.

Step 3: Open the Contact Information Page

Click the edit link from the contact’s Action column.

Step 4: Edit the First or Last Name of the Contact

  1. Click into the First Name field and make any necessary changes.
  2. Click into the Last Name field and make any necessary changes.

Step 5: Edit or Add the Email Address of the Contact

Click into the Email Address field and type in the correct information.

Note: You must supply an Email Address if you enable the Send Gift Notification option.

Step 6: Save the Edited Information

Click the Save button. The system will display the Address Book page again.

Adding a Contact to the Gift Notification List

You can add a contact to a gift notification gift by selecting the appropriate option in your Address Book.

Step 1: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Dashboard link to locate the fund you want to work with (or the Champion Center link if you can create only one fund.)

Step 2: Locate Your Contact

Scroll through the list or click the letter that corresponds to the last name of the contact.

Step 3: Open the Contact Information Page

Click the edit link from the contact’s Action column.

Step 4: Add the Email Address of the Contact

Click into the Email Address field and type in the address at which the contact receives email.

Note: You must supply an Email Address if you enable the Send Gift Notification option.

Step 5: Add Contact to Send Gift Notification List

Click the Yes, please send this contact an email when a gift is made to this fund checkbox. The system adds a checkmark.

Step 6: Save the Edited Information

Click the Save button. The system will display the Address Book page again.

Removing a Contact from the Gift Notification List

You can remove a contact from the Gift Notification lists when necessary.

Step 1: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Center or Champion Dashboard link to locate the fund you want to work with.

Step 2: Locate Your Contact

Scroll through the list or click the letter that corresponds to the last name of the contact.

Step 3: Open the Contact Information Page

Click the Edit link from the Actions columnof the contact.

Step 4: Remove Contact From Send Gift Notification List

Click the Yes, please send this contact an email when a gift is made to this fund checkbox. The system will remove the checkmark.

Step 5: Save the Edited Information

Click the Save button. The system will display the Address Book page again.

Deleting a Contact from Your Address Book

You can delete a contact from Your Address Book if you no longer need them or one of your contacts has been uploaded with two email addresses.

Step 1: Display the Address Book

Click the Address Book Champion from the top of a Champion Center page (or, click the Address Book link at the bottom of the page).

Note: If you are not in the Champion Center for your fund, click the link that displays the Personal Fundraising campaigns and click the Champion Dashboard link to locate the fund you want to work with (or the Champion Center link if you can create only one fund.)

Step 2: Locate Your Contact

Scroll through the list or click the letter that corresponds to the last name of the contact.

Step 3: Delete the Contact Information Page

Click the delete link from the contact’s Action column. The system will remove the contact from the list.

Step 3: Display the Import Contacts Page
